This Privacy Policy explains how Provibe (“Provibe”, “we”, “us”, or “our”), a sole proprietorship based in Malappuram, Kerala, India, collects, uses, discloses, and protects information when you use the Provibe mobile application and related services (the “App” or “Service”).

By creating an account or using the App, you agree to the practices described in this Policy.

1. Information We Collect

We may collect the following categories of information:

• Account information: name, email address, phone number, college/institution, date of birth, and profile photo.
• User-generated content: podcasts, audio recordings, videos, images, text posts, comments, and any other material you upload, record, or submit through the App (“User Content”).
• Ambassador and organizational data: college name, constituency/district, role within a partnered student or campus organization, and referral or performance data related to the Campus Ambassador program.
• Usage data: device type, IP address, app interaction logs, crash reports, and analytics data collected automatically.
• Communications: messages you send us for support, feedback, or verification purposes.

2. How We Use Information

We use collected information to:

• Operate, maintain, and improve the App and its features, including live audio rooms and organizational dashboards.
• Verify user and ambassador identity, and administer badges, rewards, and Campus Ambassador Elections.
• Host and display User Content to other users of the App, including within any partnered organization’s branded space.
• Communicate with you about updates, events, and account matters.
• Maintain platform safety, investigate misuse, and enforce our Terms and Conditions.
• Comply with applicable law, including the Digital Personal Data Protection Act, 2023 (“DPDP Act”) of India.

3. User-Generated Content and Uploader Responsibility

All podcasts, audio, video, images, text, and other material uploaded to the App (“User Content”) are created and submitted voluntarily by the individual student, user, or Campus Ambassador who uploads them (the “Uploader”). Provibe acts solely as a hosting platform for such content and does not create, verify, or endorse User Content prior to upload.

Sole responsibility for the legality, accuracy, originality, and appropriateness of any User Content rests entirely with the Uploader. This includes, without limitation, responsibility for obtaining any consents required from persons appearing or referenced in the content, ensuring the content does not infringe any third party’s intellectual property or privacy rights, and ensuring the content complies with applicable Indian law and this Policy. Provibe disclaims all liability for User Content and reserves the right to remove any content or suspend any account at its sole discretion.

4. Sharing and Disclosure of Information

We do not sell personal information. We may share information with:

• Partnered colleges and organizations, limited to data relevant to your participation in their branded space (e.g., committee membership, submitted content).
• Service providers who assist with hosting, analytics, and infrastructure (e.g., cloud hosting providers), under confidentiality obligations.
• Law enforcement or regulatory authorities where required by law or to protect the rights, safety, or property of Provibe, its users, or the public.
• A successor entity in the event of a merger, acquisition, or transfer of business assets.

5. Data Retention and Security

We retain personal information for as long as your account remains active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. We implement reasonable technical and organizational measures to protect your information; however, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6. Children’s Privacy (Junior Provibe)

Where Provibe offers a service directed at users under 18 years of age, such use requires verifiable parental or guardian consent and, where applicable, teacher or institutional supervision, in accordance with the DPDP Act, 2023. We do not knowingly collect personal data from children outside of this verified consent framework.

7. Your Rights

Subject to applicable law, you may request access to, correction of, or deletion of your personal information, and may withdraw consent for processing where consent is the basis for such processing, by contacting us using the details below. Withdrawing consent may limit your ability to use certain features of the App.

8. Cookies and Analytics

The App may use device identifiers and analytics tools to understand usage patterns and improve performance. You may be able to limit certain tracking through your device settings.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be notified within the App or by other reasonable means. Continued use of the App after changes take effect constitutes acceptance of the revised Policy.
